Job Summary
The Dental Coordinator is responsible for providing administrative support and ensuring a positive patient experience at the dental office. Reporting directly to the Dental Front Office Lead, this role involves scheduling appointments, verifying patient information, managing patient records, and handling billing and insurance coordination. The Dental Coordinator is the first point of contact for patients and plays a key role in maintaining efficient office operations.

Essential Duties and Responsibilities
• Patient Interaction
  o Greet and check in patients, ensuring a positive and welcoming experience.
  o Confirm patient information and update records as needed.
  o Schedule and confirm patient appointments, ensuring efficient use of the dentist’s time.
  o Handle patient inquiries and provide information about treatments, billing, and office policies.
  o Collect and verify insurance information, and assist with insurance verification and pre-treatment authorizations.
• Administrative Support
  o Operate the Dental Practice Management Software, clinic’s Electronic Medical Records Systemand any applicable information technology systems.
  o Manage patient treatment records, ensuring they are accurate and up-to-date.
  o Process payments, send invoices, and assist patients with billing questions.
  o Maintain inventory of office and dental supplies, making sure the office is always properly stocked.
  o Assist with the preparation of patient forms and documentation for visits.
  o Coordinate patient follow-up appointments and reminders.
• Office Management
  o Monitor and maintain a smooth flow of patients, coordinating between front office and clinical staff.
  o Organize and maintain the front office environment, ensuring cleanliness and a professional appearance.
  o Assist with handling patient concerns and resolving issues efficiently and with professionalism.
• Other Responsibilities
  o Perform additional tasks and duties as assigned to help ensure the overall efficiency of the dental office.

Education and Experience
1. High school diploma or equivalent required.
2. Previous experience in a dental or healthcare setting is preferred, but not required.
3. Demonstrates patience, diplomacy, and tact when interacting with patients, particularly in stressful or challenging situations.
4. Strong interpersonal skills with the ability to establish and maintain positive relationships with patients, colleagues, and healthcare professionals.
5. Exceptional verbal and written communication skills, able to provide clear instructions and support patient comfort during treatments.
6. Demonstrates a high level of sensitivity to patient needs, addressing patient anxieties and encouraging compliance with treatment plans.
7. Maintains a high standard of personal and professional integrity, adhering to confidentiality and ethical guidelines in all interactions.
8. Familiar with federal and state laws and regulations governing healthcare, including patient privacy (HIPAA).
9. Proficient in using MS Office programs (Word, Excel, Outlook) and other office software; comfortable with dental office management systems.
